Privacy policy

Assign Members is a Clover app made by Grey Sky Media. This page explains what it stores for your business and your members, why, and how to have it removed.

Who this covers

Two groups: the merchant (the business that installs Assign Members on Clover) and that merchant's members (the customers they enroll). The merchant decides who to enroll and what to collect. We process member information on the merchant's behalf so the app can work.

What we store, and why

Card details

Card numbers are entered on the Clover device and saved by Clover. Assign Members receives only a token from Clover and the card's first six and last four digits, which it passes back to Clover to attach the card to the member. We never see or store a full card number. Clover runs every recurring charge under the merchant's own agreement.

Contact details

Member email addresses and phone numbers stay in the merchant's Clover customer records. The Members service doesn't keep its own copy, and it does not email or text members.

Waivers

If you use the built-in waivers, signed waivers are stored by the Assign Waivers service, which is part of the same app family. A waiver can include the signer's name, date of birth, email, phone, any minors they sign for, and their signature. If the merchant scans a driver's licence to fill the form, the fields read from it (such as name, address, date of birth and licence number) are stored with the waiver. Check-in only asks that service whether a member's waiver is current.

Error reports

When the app crashes or hits an error, a diagnostic report goes to our error-monitoring provider (Bugsnag) with the merchant ID so we can fix it. These reports aren't meant to include member details.

Where it lives

The Members service runs on Cloudflare (Workers and the D1 database). Card processing and customer records stay with Clover. We don't sell any of this information, and we don't use it for advertising.

Sharing

We share information only with the services that run the app: Clover (your POS and billing), Cloudflare (hosting), the Assign Waivers service (waiver status) and Bugsnag (error reports). Events such as a new enrollment, a charge result or a check-in are passed to Grey Sky Media's own Assign services so the family of apps stays in step. We'll disclose information if the law requires it.

How long we keep it

We keep a merchant's data while Assign Members is installed and in use. When a merchant uninstalls, or asks us to, we delete their data unless we're required to keep part of it, for example for billing or legal records.

Your choices

Merchants: email us from the address on your Clover account to get a copy of your data or have it deleted. Members: your membership is with the business you joined. Contact them first; if you can't reach them, email us and we'll work with them on your request.
